This Privacy Notice describes how Seamless E Sign LLC ("Seamless E-Sign," "we," "us") collects, uses, shares, and protects personal data when you use our website and the Seamless E-Sign platform (the "Service"). Seamless E Sign LLC is the controller of the personal data described in this notice.

1. Personal Data We Collect

• Account data: name, email, password hash, workspace, role.
• Signer data: names, email addresses, signatures, signed documents, and consent records that you or your senders provide.
• Document content: files and fields uploaded for sending or signing.
• Usage and telemetry: pages viewed, features used, API calls, device and browser metadata, IP address.
• Audit data: timestamps, IP addresses, and event hashes that support tamper-evident audit trails.
• Support communications: messages you send to our support channels.

2. How We Use Personal Data

• Provide, operate, secure, and improve the Service (contract performance, legitimate interests).
• Create and authenticate accounts and enforce role-based access (contract performance).
• Generate audit trails and Certificates of Completion (legal obligation, legitimate interests).
• Send transactional emails such as signature requests, reminders, and receipts (contract performance).
• Prevent fraud, abuse, and security incidents (legitimate interests, legal obligation).
• Comply with legal, tax, and accounting obligations (legal obligation).
• With your consent, send product news; you can opt out at any time.

3. How We Share Personal Data

We share personal data only with the following categories of recipients:

• Merchant of Record (Paddle): Paddle.com acts as our reseller and Merchant of Record. Paddle processes payment data, manages subscriptions and credit purchases, handles tax compliance, invoicing, and refund requests. See Paddle's Privacy Notice.
• Service providers / subprocessors: cloud hosting, database, email delivery, analytics, and customer support tooling, each bound by data-protection obligations.
• Other signers and senders: parties to a document you send or sign will see information necessary to complete the transaction (your name, email, and signature).
• Professional advisers: legal, accounting, or compliance advisers where necessary.
• Authorities: where required by law, regulation, or valid legal process, or to protect rights, safety, and security.

4. International Transfers

We and our subprocessors may process personal data in the United States and other countries. Where required, we rely on lawful transfer mechanisms such as Standard Contractual Clauses or adequacy decisions.

5. Data Retention

We retain personal data for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Signed documents and audit records are retained for the duration of your account so you can access them as evidence, and are deleted or anonymized when no longer required.

6. Your Rights

Depending on where you live, you may have the right to access, correct, delete, port, restrict, or object to processing of your personal data, and to withdraw consent. We use appropriate technical and organizational measures including encryption in transit, encryption at rest for documents, scoped access controls, audit logging, and cryptographic tamper-evident manifests. No system is perfectly secure, but we continuously work to protect your data.

8. Cookies

We use essential cookies and local storage to keep you signed in, remember preferences, and secure the Service. Where used, analytics cookies help us understand aggregate usage. You can manage cookies through your browser settings.

9. Children

The Service is not directed to children under 16, and we do not knowingly collect their personal data.
